Western clothing retail chain (second hand shops) is looking for HEAD OF ADMINISTRATION, HR AND LEGAL MATTERS.

Job Objective:

The Head of Admin. is responsible for planning, implementing and managing of the Administrative and Legal functions of the group of Companies, and for the administration and recruiting of its Human Resources.

The Head of Admin. is part of the team at HQ level. Requirement to any person working at this level is that the Head of Admin. is responsible for solving the tasks within the responsibilities attached to the position. The Admin. must, as other persons working at this level, be ready to take on extraordinary tasks when extraordinary situations occur. Also tasks outside of the description of responsibilities below.

Manages the following staff: HQ Legal Manager, Regional Admin. Managers in cooperation with Head of Finance and Economy,

Reporting to: The General Director and the Group Management Team.

The responsibilities include:

  1. Responsible for the administrative processes:
  • Plan, create, implement, manage and coordinate the Group's internal procedures, policies and rules, coordinated by management, control their execution.
  • Manage, control and analyse the administrative activities of the Group, their effectiveness and relevance to the company's needs, report about detected discrepancies and problems, and provide suggestions for improvement and organise implementation of the improvements.
  • Ensure effective communication regarding internal procedures, policies and rules with all companies of the Group.
  • Analyse Group administrative managers’ reports, provide comments, suggestions and instructions.
  • Streamlining of job contracts and job descriptions for all staff groups and organize implementation of them in all companies in the Group.
  • Organise and perform inspections of HR management activities, HR and legal documents in the Group.
  • Communicate results of inspections to management and organize improvements.
  • Responsible for that rent contracts and other major contracts in the Group are have optimal conditions and organize the implementation of any changes.
  • Organize due diligence of major suppliers of services and goods and report about findings to Management.
  • Create work safety management system and control its implementation.

2. Responsible for maintaining and updating the legal structure of the group.

The task includes but is not limited to:

  • Make and execute the legal Diary for all companies for the year
  • Responsible for the implementation of any changes to the existing companies and that they have correct codes, registrations etc.
  • Responsible for organizing the implementation of any changes to the legal structure which may be decided from time to time.
  • Responsible for maintenance of the Royalty system within the Group as well as the updating of all registrations of trademarks and sublicense certificates.
  • Responsible for the fulfilment of the service agreements within the group and its documentation
  • Perform internal control of the legal documentation of the Companies in the Group/founding documents/contracts/other
  • Other corporate tasks as they occur.

3. Keep updated with changes to all legislation which are relevant for us and is responsible for bringing such change to the knowledge of management and other employees who need to conform with new rules.

The task includes but is not limited to:

  • Keep updated via official updating systems
  • Check regional sites for regional changes
  • Site for traffic violations and new traffic rules
  • New rules/regulations/practices following the COVID-19 pandemic and similar cases in the future
  • New rules for support from the state and how
  • Analyse legal documents and provide resumes for Management.

4. Responsible for Legal proceedings, labour cases and disputes

The task includes but is not limited to:

  • Coordinate and manage all Group legal processes.
  • Prepare reports about all legal disputes and court procedures in the Group to management
  • Provide supervision to outside lawyers hired to assist the Group with legal services.
  • Develop Group position on legal issues.
  • Settle other legal disputes.
  • Supply legal advice to management and managers about preventing labour disputes, solving labour disputed
  • Represent the companies in the Group in legal proceedings.
  • Explain the law and give general legal advice.
  • Prepare court case for the company in case of labour disputes
  • Represent the company in court/labour inspection in such cases
  • Prepare and file applications to the police/court in case of dishonesty by staff
  • Solve difficult other labour cases and dismissals in cooperation with the relevant Key Staff

5. Responsible for Recruiting of key staff, salary and bonus systems, HR statistics The task includes but is not limited to:

  • Recruiting of Unit Managers, Regional Managers, HQ staff, Regional Admin Managers, other Key staff.
  • Have the contact with Recruiting Companies for these positions.
  • Receive and select CV’s
  • Participate in interviews when needed
  • Control that the recruiting of other staff is carried out satisfactory in the regions – weekly/monthly reporting systems
  • Keep updated with general salary levels in the different regions and cities
  • Deciding and proposing salary levels and for when and how to change salaries
  • Develop bonus systems for different staff groups
  • Make/update reporting format for statistics for Human Resources
  • Collect statistics on quarterly level
  • Analyze the statistics and take action
  • Prepare staff meetings organized by Head office in cooperation with Shop Directors/General Director

REQUIREMENTS FOR THIS JOB:

  • Master’s degree in Law (preferably Labour Law);
  • A minimum of 7 or 10 years of experience in the following: Corporate and Commercial Law, Labour Law;
  • IT literacy;
  • Excellent communication and negotiation skills;
  • Experience in optimizing administrative systems and processes with hands-on approach
  • Experience in leadership
  • Ability to prioritize tasks and to work under strict deadlines with positive emotions;
  • Fluency in English
  • Ability to balance tense situations;
  • High level of self-motivation, precision and commitment to results;
  • Honest, hardworking, helpful and result orientated personality.
