The position
In the role of Commercial Department Coordinator, you will be responsible for the below activities
Support of Commercial operations (65%)
Coordinate Commercial Committee meetings
Coordinate discussion, approval and signing of Commercial Policy and Distribution Agreement templates.
Create change requests in NovoGlow for Distribution Agreement signing.
Ensure timely signing of Distribution Agreements and related documents with all commercial partners.
Register signed Distribution Agreements and Addendums in Coupa.
Ensure up-to-date information on “Delivery of product” page on www.novonordisk.ru.
Serve as the first point of contact for potential commercial partners (provide information, collect documents for DD), fill in the Risk Scoring Questionnaire, send the data to LDDR.
Issue of official letters for all distributors (about bonus, changing prices and etc.)
Maintain MS bonus documentation flow (collecting/storing/verification/calculation information from distributors (delivery documents, governmental contracts, verification of data with base of auctions))
Forecast from distributors perspective (monthly information from distributor’s side beforehand, on 5 Months base, p.5.1 of contract) collect and process date from distributors
Manage archives
Ad-hock tasks
Support of Commercial Department’s team (35%):
Represent regional team in the office
Assist with travels on regular basis and to corporate meetings
Support newcomers with related topics
Plan and support cross-functional meetings and projects
Plan and support trainings
Support budgeting process
Support of Commercial Director (5%)
Assist with planning, preparation and booking of travels
Organise department meetings and other department events and activities
Handle all items related to expense reporting
Assist with other administrative and/or ad-hoc tasks as needed
Qualifications
Below mentioned qualifications are expected from the candidates:
- A University degree
- 1-2 years of experience in an administrative position
- Excellent communication skills
- Planning and independently driving administrative tasks
- Structured approach and diligent follow-up
- Fluent in English – written and oral
