ViTO Group is a German company and specialized industrial services provider focused on entire lifecycles of assets in the oil & gas and power sectors. In addition to project development and financing, we offer our clients turnkey EPC as well as maintenance and repair services. We serve a diverse range of blue-chip clients ranging from operators/owners to multinational EPC companies and OEMs.
For our newly opened Moscow office we are looking for a highly motivated and well-organized Officer Manager to maintains office services by organizing office operations and procedures.
What it takes
- Bachelor’s degree
- Proven experience as an office manager/administrator or in another relevant position with 3-5 years of experience
- Outstanding abilities to communicate in person, in writing and over the phone
- Problem-solving and basic troubleshooting skills
- Familiarity with common procedures and basic account principles used in the office
- Knowledge of Microsoft Office and other office management tools and applications
- Fluent in Russian and English; additionally fluent in Turkish is an advantage
- Experience in the construction or energy sectors is preferable.
Responsibilities
- Welcome visitors to the office;
- Manage agendas, travel plans and appointments for senior management;
- Manage emails, letters, packages, phone calls and other forms of correspondence;
- Support bookkeeping and budgeting procedures for the company;
- Create and update databases and records for financial information, personnel and other data;
- Track and replace office supplies as necessary to avoid interruptions in standard front office procedures;
- Submit reports and prepare presentations as needed;
- Coordinating third party service providers and vendors;
- Translation of documents into and from Russian;
- Ensure the office runs smoothly;
- Candidates with a previous experience in a construction or Energy company is preferable.
Our office is in the center of Moscow and work hours are from 09:00 to 18:00 during weekdays. All job terms are according to the Russian law and the salary package will be discussed with the best candidate.
