SUMMARY

The General Office Manager’s role is to ensure the efficient running of the office and managing all activities that require administrative support. Basic bookkeeping is a key part of the role.

  • Location: Moscow, Russian Federation
  • Reports Directly to: Head of Representative Office
  • Reports Indirectly to: N/A
  • Supervises: Head of Representative Office
  • External Stakeholders: HD Hyundai Infracore Co., Ltd. (Korea HQ)

KEY RESPONSIBILITIES

Office Management

  • Keep up-to-date information on relevant office equipment, procedures, and processes.

  • Respond to inquiries and assist any visitors to the office

  • Coordinate maintenance of office equipment as necessary

  • Generally, support the head of representative office and other colleagues as required

Finance/Accounting Tasks

  • Assist in the design, implementation, and timely calculations of wage incentives, commissions, and salaries for the staff

  • Provide weekly reports on expenditure of the representative office personnel

  • Maintain and update the demand planning and ordering system by direction of head of representative office or Sales Strategy & Marketing Leader, providing summary of monthly forecast and sales performance by distributors.

  • Check, seek authorization, and arrange for payment of all invoices. Process and file expense claims

  • Work with and seek advice from the external accounting firm on accounting and tax related filings

  • Report to and liaise with the head quarter in Korea

Administrative Tasks

  • Assist with the management of the head of representative office’s diary, arranging meetings and ensuring regular duties are scheduled

  • Ensure the smooth running of the office including attending to visitors and making sure everything works

  • Organize staff meetings, type agendas, and take an action points/minutes

  • Make travel and accommodation arrangements as necessary

  • Translations, interpretation (Russian and English)

  • Organizational support of expatriate foreign manager

  • Support Logistics including taxi, hotel reservation, or visa registration for foreign delegation

  • Proactively monitor processes, identify tools, procedure and other measures that increase effectiveness and grow the organization

  • Recordkeeping - ensure that all policy and process documents are properly updated and maintained.

Key Performance Indicators for General Office Manager

  1. Office Management
  • Time gap between request for office resources and initial action and responsiveness in following up and resolving the request
  • Time lapse between depletion and replenishment of supplies and getting them replenished
  • Percentage of cost savings per month/quarter

2. Finance/ Accounting Tasks

  • Number of days to process accounting/administrative transactions/payments (set benchmarks with statutory deadlines etc.)
  • Frequency of inaccuracies in payroll management
  • Percentage of accurate financial reports and forecasts presented on time per month/ quarter/year
  • Number of compliance violations in a year and cost of penalties incurred

3. Administrative Tasks

  • Percentage of reports completed on time, with little need for revisions.
  • Recordkeeping - updated status of all databases being managed (vendors etc.)

COMPETENCIES

Technical & Non-Technical Competencies

  • Excellent written and verbal communication skills, including strong proof-reading skills
  • Proficiency in English
  • High level of written accuracy in all aspects of your work
  • High level of computer literacy; proficient in the use of MS Office, Word, PowerPoint and Excel
  • Knowledge of current best practices in business operations management.
  • Ability to work with minimum supervision often alone and prioritize tasks appropriately
  • Ability to relate to people at all levels effectively.

Technical & Non-Technical Competencies

  • Bachelor's degree in Business Administration with Accounting or Taxation
  • 3 years or more experience in office management role.
  • Experience with an international company or an accounting firm will be an added advantage

Conditions

  • Location: Moscow, Russian Federation
  • Monthly salary is approximately 120,000 rubles, with the possibility of adjustment based on work experience. (Additional benefits and incentives can be discussed during the interview process.)
