The Visa Application Centre (VAC) Manager has responsibility for the day to day operation and ongoing development of a Visa Application Centre. In addition, they may be responsible for one or more temporary application centres (TELs) that are linked to the VAC ‘hub’.

Management of the VAC includes all aspects of operational delivery –ensuring Visa Applications are managed in accordance with standard operating procedures, and ensuring effective delivery of all aspects of staff management.

VAC managers will also be required to identify routes to continuously improve the quality of services from their VAC, as well as support more strategic performance improvement through new business development, and the co-development and implementation of Company wide systems that enhance the services offered through TLScontact.

Accountabilities

Staff Responsibility

This post has management responsibility for a number of direct reports (primarily Application Centre Agents, Supervisors, and potentially support staff) depending on the size of the VAC operation

Financial Responsibility

This post has financial/budget accountability for their Visa Application Centre

Key Responsibilities

1. Manage the day-today operations of a company Visa Applications Centre in compliance with Standard Operations Procedure, and for larger Centre’s additionally manage the operations of one or more subsidiary temporary remote Application Centres (TELs)

2. Develop, coordinate and implement first-class services

3. Work with the UK government client, other support organisations and companies to develop and enhance services

4. Manage the physical facilities of the VAC to ensure they are fit for purpose.

5. Ensure a healthy and safe working environment

6. Contribute to strategic planning and implementation actions, and business reporting in accordance with Company processes

7. Strategic responsibilities for commercial developments, developing turnover and gross margin, increasing market share and lead new commercial developments

8. Maximize productive efficiency within the company

9. Ensure the quality of customer service

10. Ensure the effective management of the VAC/TEL staff team through recruitment, objective setting and review, training and development, and the motivation of staff through effective leadership and appropriate implementation of recognition and reward practices

11. Ensure appropriate communication channels exist between the staff and customers

12. Ensure the integrity of systems and processes to manage applications effectively and ensure the confidentiality of client, TLScontact and customers information

13. Manage the VAC operation and staff in accordance with TLScontact Values, and develop the Centre’s culture to ensure its alignment with the Values

Secondary Responsibilities

1. Support the development of other VAC/TEL locations through advice and mentoring

2. Ensure the effective implementation of central Company initiatives

3. Improve on Employer’s current delivery and reporting processes

Requirements

Experience

More than 3 years of working experience, including 2 years in management

Demonstrable experience in a people management role

Working within a customer service role engaging direct with the public

Working in a fast-paced environment

Experienced manager –with demonstrable experience of effective recruitment, performance management, financial management and business reporting

Direct management experience in a customer service or retail environment

Aptitudes or Generic Skills

Fluent in English, and with good written English communication skills with an ability to articulate complex situations into precise and easily understandable language

Numerate, detail conscious and analytical

Character or Behavioral Competencies

Excellent management of time and priority setting

A can do attitude and willingness to go the extra mile when required

Strong relationship building and interpersonal skills

Organised, able to cope effectively under pressure, and manage many concurrent tasks

Self-motivated
