Responsibilities:
- Organization of work and logistics of the office:
- Provision of office stationery and supplies;
- Preparation of documents, including review and arranging of execution of the contracts , required for: supply of stationery, supplies and other inventory items necessary for the office, maintenance and repair of office equipment, cleaning company services;
- Control over the technical condition of the office.
- Office Administration:
- Reception of incoming calls, messages, documentation;
- Organization of business trips: air and railway tickets, taxi, visa support for journalists/dealers/customers/employees;
- Preparation of paperwork/direct contacts for accreditation in Swiss Embassy;
- Processing and storage of incoming documentation;
- Preparation, execution and archiving of outgoing documentation;
- Preparation of office memos regarding to business activities of the Company;
- Preparation of representative expense reports and respective documents.
- Interaction with suppliers, dealers and retail customers, customs offices and customs broker:
- Expertise of the contacts with suppliers / buyers in accordance with the legislation of the Russian Federation and preparation them for signing;
- Reception and processing of orders of dealers, control over correctness of registration of shipping documents;
- Informing dealers about all changes in the range, increases and decreases in prices, promotions of demand, time of delivery of the goods on stock;
- Update of price-list;
- Timely update of data of dealers in the Company information system;
- Processing of orders of the goods of dealers;
- Processing of orders of the goods based on customer needs;
- Control of trade receivables / trade payables and timely repayment;
- Reconciliation of settlements with suppliers / customers;
- Interaction with customs office, customs brokers in terms of import / export of goods;
- Control over the safety of inventory and cash assets:
- Receipt, storage and release of the goods according to the Russian legislation;
- Inventory of the goods and spare parts.
- Settlement and cash services:
- Registration of incoming and outgoing cash orders;
- Delivery of cash proceeds to the bank;
- Carrying out payments from retail customers and issuing check-cash receipts;
- Re-registration of cash machine in accordance with new Federal Law of the Russian Federation;
- Authorization of payment orders in the Bank-Client system;
- Request for an extract from the corporate cards;
- Control over the movement of cash.
- Interaction with the Authorized Service Center:
- Informing the Service Center about the availability of spare parts in the warehouse;
- Preparation of orders of spare parts required upon request of the Service Center;
- Preparation of the necessary documentation and reports under the agreement with the Service Center.
- Prolongations of rental agreements of the office and warehouse (preparation of paperwork and negotiations with Landlord representatives).
- Registration of POS-materials (gifts, displays, etc) and its shipments to dealers.
Requirements:
- Higher education
- Proven similar experience as business assistant / in office administration
- High level of English language
- Preferably working experience for an international company, experience in communication and reporting to the foreign located HQ
- Advanced MS Office knowledge (Excel, PowerPoint)
- Willingness to build long-term relations with the Company, ability and willingness to work in a multicultural company
- High level of self-organisation, analytical mind, flexibility, team-orientation, accuracy and reliability, excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills.
